HR Systems & Operations Specialist
Would you like to join a rapidly growing insurance company as an HR Systems & Operations Specialist? You’ll play a key role in optimizing our HR systems, streamlining onboarding and offboarding, and shaping a positive employee experience. We’re looking for a detail-oriented professional who thrives on making HR technology work smarter and building scalable processes that support a dynamic environment.
Location: On-site in Carlsbad, CA, five (5) days per week, with hybrid flexibility after 6 months.
Key Responsibilities:
- Onboarding & Offboarding: Own the end-to-end process for new hires and exits, ensuring smooth transitions, accurate system updates, and a positive employee experience. Manage onboarding checklists, system access (ADP/OKTA), documentation, and exit interviews.
- HRIS & ADP Workforce Now: Serve as the go-to expert for ADP Workforce Now. Manage data integrity, configure modules, support system upgrades, and lead integrations with IT, Payroll, Finance, and Learning.
- Process Automation: Introduce self-service, streamline workflows, and reduce manual HR tasks through system enhancements and integrations.
- Employee Lifecycle Changes: Handle promotions, manager changes, and internal moves with accuracy and efficiency.
- Data & Reporting: Build workforce analytics dashboards, deliver insights to HR/leadership, and support compliance reporting (EEOC, CA Pay Data, audits).
- Cross-Functional Collaboration: Partner with IT, Payroll, Finance, and L&D to align HR operations with business needs.
- Compliance & Records: Maintain HR records, I-9 compliance, and ensure governance best practices across systems and policies.
- Benefits Support (system side): Coordinate with HR and Payroll during benefits onboarding, open enrollment, and carrier integrations in ADP WFN.
Requirements:
- Bachelor’s degree required.
- 3+ years of hands-on experience with ADP Workforce Now (system administration, data management, integrations).
- Advanced Excel (pivot tables, vlookups) and comfort with HR analytics.
- Experience leading HRIS upgrades, integrations, and process automation initiatives.
- Excellent communication and ability to partner cross-functionally (HR, IT, Payroll, Finance).
- Strong organizational skills and attention to detail, with a focus on compliance.
Benefits & Compensation: The anticipated salary range is $70,000 to $90,000, plus a competitive benefits package.
