Join a rapidly growing health tech company as an HR Operations Specialist, where you’ll be integral in supporting our people operations and helping to shape an exceptional employee experience. This role requires a dedicated, detail-oriented professional with a passion for creating seamless HR processes and operational excellence within a dynamic health tech environment.

Location:  Onsite workplace in Vista/Oceanside location off 78 Freeway, 5 days per week

Key Responsibilities:

  • New Hire Onboarding: Lead the onboarding program, providing a positive start and essential resources for new hires.
  • HR Administration:  Handle all HR administrative tasks related to onboarding, offboarding, promotions, and other employee transitions to support a smooth employee lifecycle.
  • ADP Workforce Now:  Maintain data integrity in ADP Workforce Now, launching ADP Cloud Onboarding and Records Management to support streamlined, tech-driven HR processes.
  • Employee Relations Support:  Assist in resolving employee inquiries and concerns, fostering a positive work environment and escalating complex matters to the HRBP as needed.
  • Policy and Compliance Administration:  Ensure HR policies and procedures are adhered to, assisting with updates and training employees on key policies.
  • Performance Management Coordination: Support the performance review and feedback process, helping managers set goals, track progress, and address performance-related questions.
  • Learning and Development Support: Coordinate employee training sessions and development programs, ensuring all team members have access to growth opportunities.
  • Employee Engagement Activities: Organize team-building activities and wellness programs, fostering a connected and engaged workplace culture.
  • Cross-Functional Partnerships: Collaborate with IT, Legal, and Finance to ensure HR administration aligns with the unique operational demands of a health tech environment.
  • Process Improvement: Continuously enhance HR processes, identifying and implementing opportunities to reduce manual tasks and improve efficiency.
  • Event Planning: Coordinate key national events, including the Owner Leaders Conference and the annual holiday party, to promote a sense of community and company culture.
  • Health and Safety:  Serve as Health and Safety coordinator, acting as Fire Marshal and maintaining CPR certification, ensuring a safe and compliant workplace.
  • SharePoint Management: Regularly update and manage HR-related SharePoint resources to ensure easy and organized access to HR information.
  • Data Analysis & Reporting: Conduct monthly and quarterly HR data analysis and reporting to provide insights for strategic decision-making.
  • Employee Record Management: Maintain accurate, compliant employee records, handling I-9 verification, audits, and other documentation requirements.
  • Benefits Administration: Assist with benefits enrollment, answering employee questions, and supporting annual open enrollment and other benefits-related processes.
  • Compensation Support: Coordinate payroll changes, bonuses, and adjustments, ensuring timely and accurate compensation processes.
  • Talent Acquisition Assistance: Partner with recruiters and hiring managers in the recruitment process, from posting job ads to coordinating interview schedules.
  • Onboarding Documentation: Develop and distribute onboarding materials, ensuring that new hires are fully equipped with the resources they need for a successful start.
  • Exit Interviews and Offboarding: Conduct exit interviews, document feedback, and manage offboarding processes to ensure a smooth transition for departing employees.

 

Requirements:

  • ADP Workforce Now Expertise: 5+ years of hands-on experience with ADP Workforce Now, including administration and data management.
  • Advanced Excel & PowerPoint Skills: Strong proficiency in Excel for data management and PowerPoint for creating insightful presentations.
  • Detail-Oriented: Demonstrated high level of accuracy in data entry, reporting, and documentation.
