Position Title: Director of Medical Staff Services


Position Overview:

Reporting directly to the Chief Executive Officer and Chief Medical Officer, the Director of Medical Staff Services is tasked with overseeing the comprehensive management of all activities related to the medical staff. This role is responsible for ensuring the seamless operation of the department, including the development and execution of programs and procedures related to medical staff functions. Additionally, the position requires maintaining compliance with federal, state, and other regulatory standards. The Director also acts as a vital link between administration and medical staff, and supervises personnel within the department.

Key Responsibilities:

1. Budget Management:

- Planning: Support the preparation of the department's budget.
- Budget Adherence: Ensure the department operates within the budget, aiming to exceed financial targets.
- Cost Control: Manage department costs effectively, identifying opportunities for cost reductions and preparing for unexpected expenses.
- Productivity: Assist leadership in adjusting staffing levels based on organizational goals, patient care needs, and industry standards.
- Capital Procurement: Participate in vendor selection for services and budget for necessary capital equipment.

2. Organizational Contribution:

- Service Excellence: Foster respectful and collaborative relationships with colleagues, providers, patients, and families. Continually seek ways to improve service and reduce complaints.
- Participation: Engage regularly in leadership and staff recognition events.
- Policy Development: Establish and implement policies and procedures to support service delivery.

3. Human Resources:

- Recruitment & Staffing: Maintain appropriate staffing levels and address turnover efficiently to minimize service disruption.
- Retention: Implement strategies to retain high-quality staff and manage turnover within organizational goals.
- Performance Management: Oversee the qualifications and competencies of department staff, providing regular feedback and conducting performance evaluations on time. Manage staff development, disciplinary actions, and compliance with job requirements.
- Staff Development: Identify and address the learning needs of staff, and facilitate relevant training opportunities.
- Conflict Resolution: Create channels for open communication and provide timely interventions in conflict situations.

4. Quality Assurance:

- Process Improvement: Engage in continuous process improvement using data-driven approaches.
- Quality Targets: Ensure department and organizational quality targets are met.
- Regulatory Compliance: Maintain readiness for regulatory surveys and address any issues promptly.

5. Specialized Responsibilities:

- Medical Staff Relations: Cultivate positive relationships with medical staff and allied health professionals, focusing on service improvement.
- Compliance: Ensure medical staff practices align with regulatory requirements and organizational policies.
- Documentation: Coordinate and maintain medical staff governance documents and ensure accurate record-keeping.
- Support: Provide resources and education to medical staff and other healthcare professionals on performance assessment and risk management.
- Liaison Role: Act as a bridge between medical staff, administration, and other key stakeholders.


Qualifications:

- Education: Bachelor's degree in a relevant field required; Master's degree preferred.
- Experience: 5-7 years in medical staff services, with at least 3 years in a leadership role. Acute care experience preferred.
- Certifications: Certified Professional in Medical Services Management (CPMSM) required; Certified Provider Credentialing Specialist (CPCS) preferred.
- Skills: Strong leadership, organizational, communication, and interpersonal skills. Proficiency in regulatory standards, critical thinking, and time management.


Essential Skills

- Communication: Proficient in reading and interpreting business and regulatory materials, writing policies, and presenting information effectively.
- Mathematics: Competence in basic to intermediate math skills, including statistical inference.
- Reasoning: Strong problem-solving abilities and the capacity to interpret various forms of instructions.
- Technical Proficiency: Knowledge of relevant computer applications and ability to resolve escalated issues.
