Position Overview:
As a part-time Executive Assistant / Administrative Assistant, you will be responsible for a variety of tasks, including administrative duties, project management, data entry, recruiting, and event coordination. You will be required to work one day a week at each of the company’s locations in **Temecula** and **San Diego**. This role is perfect for someone who is highly computer-savvy and capable of managing tasks across multiple areas, including recruiting, customer service, and event management.
Key Responsibilities:
- Provide comprehensive administrative support, including managing executive calendars, scheduling, and travel coordination.
- Perform data entry and maintain accurate records in CRM systems and spreadsheets.
- Assist with recruiting efforts, including candidate sourcing, resume screening, and coordinating interviews.
- Manage small to mid-sized projects, tracking timelines, milestones, and deliverables.
- Provide customer support by addressing inquiries and resolving issues, ensuring a high level of client satisfaction.
- Organize in-person company events and community engagement activities at both the San Diego and Temecula offices.
- Collaborate with vendors and local partners to coordinate event logistics, such as venue selection, catering, and AV setup.
- Work one day a week at each site in San Diego and Temecula for in-person tasks, while also managing remote responsibilities.
Project Management Responsibilities:
- Coordinate tasks and deliverables for various projects, providing regular updates to the executive team.
- Ensure timely execution of projects, identifying risks and proposing solutions to meet deadlines.
Recruiting Responsibilities:
- Support the recruiting process by sourcing candidates, screening resumes, and scheduling interviews.
- Assist with job postings and maintaining the candidate pipeline in the CRM.
- Coordinate with hiring managers and communicate with candidates throughout the recruitment process.
In-Person & Community Event Management Responsibilities:
- Plan and manage logistics for company-wide events, client presentations, and community events.
- Serve as the main point of contact for event vendors, handling all coordination for venue, catering, and technical setup.
Sales & Customer Support Responsibilities:
- Assist the sales team with managing leads, CRM updates, and preparing proposals and presentations.
- Handle customer inquiries and provide exceptional service through problem-solving and communication.
Marketing & Social Media Responsibilities:
- Assist in creating and scheduling content for social media platforms, tracking engagement and adjusting strategies as needed.
- Collaborate with the marketing team to execute digital marketing campaigns and report on performance metrics.
Qualifications:
- 3 years experience in an Executive Assistant or Administrative Assistant role, with a focus on data entry, recruiting, and project management.
- Highly computer-savvy with strong proficiency in Microsoft Office (Excel, Word, PowerPoint), CRM system (HubSpot), and project management tools (e.g., Asana, Trello).
- Strong organizational, multitasking, and communication skills.
- Experience in recruiting, including candidate sourcing and screening.
- Ability to work independently and in collaboration with teams.
- Must be able to work one day a week at both the San Diego and Temecula sites.
- Based in San Diego, Temecula, or able to reliably commute to both locations.
Compensation:
- $25-$30 per hour, depending on experience.
- Annual performance-based bonus of 10-20% of annual earnings.
