Schedule: Monday–Friday, 6:30 a.m.–3:00 p.m.
Compensation: $24.00–$30.00 per hour

Our client, a stable, privately owned biotechnology manufacturing company in San Diego looking for a Front Office & Operations Coordinator to become an integral member of our team.
You’ll work closely with leadership and support accounting, customer service, logistics, and office operations. This is a trusted role for someone who values professionalism, confidentiality, accuracy, and follow-through.

What You’ll Do
No two days are exactly alike. You’ll be responsible for helping keep the office running smoothly while supporting several key business functions.
Front Office & Customer Service
• Welcome visitors and customers while creating a professional first impression
• Answer and direct incoming phone calls
• Respond to customer inquiries with professionalism and urgency
• Coordinate conference rooms and prepare for meetings
• Manage incoming and outgoing mail and deliveries
• Help create a calm, organized, and welcoming front office experience
Accounting & Financial Support
• Process Accounts Payable and Accounts Receivable transactions
• Prepare and distribute customer invoices
• Follow up on outstanding customer payments
• Reconcile company credit card statements
• Maintain organized accounting records and supporting documentation
• Verify invoices for accuracy before processing payments
• Handle financial information with discretion, accuracy, and care
Office Operations
• Coordinate office supplies and maintain inventory
• Schedule equipment maintenance and vendor service calls
• Support leadership with calendars, meetings, administrative support, and special projects
• Maintain confidential business records
• Assist with onboarding paperwork and administrative projects as needed
• Help improve office procedures and identify efficiencies
• Keep important details moving so the team can operate with confidence
Cross-Functional Support
As part of a small, collaborative company, you’ll occasionally assist other departments with projects outside your normal daily responsibilities. We’re looking for someone who enjoys pitching in wherever needed, takes pride in being dependable, and helps the entire team succeed.

• 3–5 years of administrative, office coordination, bookkeeping, accounting support, or similar experience
• Experience using QuickBooks or comparable accounting software
• Proficiency with Microsoft Outlook, Word, and Excel
• Strong written and verbal communication skills
• Excellent organizational and time management skills
• Ability to maintain confidentiality and professionalism
• Ability to prioritize multiple responsibilities while maintaining exceptional accuracy
Preferred:
• Manufacturing or biotechnology industry experience
• Experience supporting accounting functions
• Experience working in a small business environment
• Experience coordinating vendors or office operations
